- Call transcripts — automated transcriptions of AI voice conversations are generated and stored to improve service accuracy and for client review.
- Voice data — audio input processed by our AI voice synthesis partner, ElevenLabs, to generate natural language responses.
Heads up: Call recordings and transcripts may contain personal information shared during the conversation. By initiating a call with our AI receptionist, you consent to recording and transcription as described in this policy.

SMS Messaging Policy
Vaia AI uses SMS (text messaging) as a primary channel for follow-up communications, appointment reminders, and service notifications. The following terms govern our SMS communications:
By providing your phone number on our website or verbally confirming consent to receive SMS messages, you agree that Vaia AI (YourAI Solution LLC) may send SMS messages to the phone number you provided. These messages may include appointment reminders, service updates, follow-up communications, and promotional content related to our AI services.
To opt out at any time: Reply STOP to any SMS message you receive from us. You will be immediately removed from our messaging list at no charge. You may also opt out by emailing info@meetvaia.com or calling (833) 438-8242.
For help, reply HELP to any of our messages or contact us directly. Message and data rates may apply depending on your mobile carrier and plan.
How Opt-In Works
- Website form checkbox — a clearly labeled opt-in checkbox is presented on our contact and inquiry forms. Checking this box constitutes your written consent to receive SMS messages.
- Verbal consent — when speaking with our AI voice receptionist or a member of our team, you may verbally agree to receive SMS follow-up messages. This verbal consent is logged in our records.
- No opt-in, no SMS — we do not send unsolicited SMS messages. You will only receive text messages if you have explicitly opted in through one of the methods described above.
SMS Message Frequency
Message frequency varies based on your interaction with our services. Typical communications include a confirmation message, appointment reminders, and periodic follow-ups. We do not engage in high-volume mass marketing SMS blasts.
SMS Service Provider
SMS messages are delivered through Twilio, Inc. Your phone number is shared with Twilio solely for the purpose of message delivery. See Section 5 for details on our data sharing practices with Twilio.
Third-Party Service Providers
To deliver our services, we work with a select group of technology partners. We share only the minimum necessary data with each provider strictly for the purpose of service delivery. We do not sell your data to any third party.
Powers our AI voice receptionist functionality. Processes inbound call audio, generates responses, and produces call transcripts. Call data (audio and transcripts) is transmitted to and processed by Vapi's infrastructure. Please review Vapi's Privacy Policy for details on their data handling practices.
Provides natural-language voice synthesis technology used by our AI receptionist to generate lifelike spoken responses. Text input (generated responses) is processed by ElevenLabs to produce audio output. No additional personal data is shared beyond what is required for voice generation.
We use n8n to automate workflows including lead routing, notification delivery, and CRM updates. Contact data (name, email, phone) may flow through n8n automation pipelines as part of service delivery. Data is not stored long-term within n8n beyond what is required to execute the workflow.
We use Google Sheets as a lightweight CRM to store and manage client contact information, lead records, and project notes. Data stored includes name, email, phone, and business details. Google's data is governed by the Google Privacy Policy.
Handles delivery of SMS messages to consenting recipients. Your phone number is transmitted to Twilio's platform solely to send messages you have opted in to receive. Twilio's privacy practices are governed by the Twilio Privacy Policy.
Used to facilitate booking of discovery calls and onboarding meetings. When you schedule an appointment, Calendly collects your name, email address, and any notes you provide. Calendly's data handling is described in the Calendly Privacy Policy.
Tracks anonymous website usage data including page views, session duration, traffic sources, and user behavior. Data is aggregated and anonymized. See Section 6 for full details on our cookie and analytics practices.
Our Commitment: Each of our service providers is selected based on their data security standards and compliance posture. We do not authorize any provider to use your personal information for their own marketing or to share it with additional parties beyond what is necessary to deliver the service.
